# How many clients can one social media manager handle?

There's no fixed number. Work out how many client-facing hours a week that person actually has, then how many hours a typical client in your mix costs across content, inbox and reporting, and divide one by the other. The same team can handle four demanding clients or eight easy ones on the same hours.

Most answers to this question give a flat range and skip the part that actually determines it: what's in the retainer, how demanding the clients are, and how much content and message volume they generate. Those three things vary so much between agencies that a number borrowed from someone else's roster is close to useless on yours.

Run the arithmetic instead. Start with real client-facing hours in a week, after team meetings, admin and PTO come out, not a nominal 40. Then price out a typical client across content creation, inbox triage and replies, reporting and strategy, and client communication overhead, in hours per week. Divide the first number by the second and that's your capacity, for your actual clients.

The biggest lever for raising that number without adding headcount is usually inbox triage, since it's the bucket most agencies still run by scrolling every message newest-first. Sorting DMs by type and urgency before anyone reads them, and starting replies from a draft instead of a blank box, both compress that bucket meaningfully. Re-run the calculation whenever a client's volume or scope changes, because a number that was accurate in January can be wrong by October.
